HOW TO CONFIGURE OUTLOOK 2002/2003

TO SET UP A NEW ACCOUNT

  1. Double-click on the Outlook 2002 or Outlook 2003 icon. Pull down Tools, then E-mail Accounts. Make sure the dot is next to Add new e-mail account. Click Next.

  2. Make sure the dot is next to POP3. Click Next.

  3. Enter your name as you want it to appear in e-mail messages in the Your Name field. It's up to you what's in this field. Examples are J. Doe, John D., John.

  4. Enter your E-mail address on our system in the E-mail Address field. Examples: soandso@mm.com, soandso@myowndomain.com. Click Next.

  5. In the field for Incoming mail server (POP3) server, enter pop.mm.com

  6. In the field for Outgoing mail (SMTP) server, enter smtp.mm.com
    NOTE: If you're accessing your mailbox from another ISP, that's perfectly fine, but that ISP's rules apply when sending mail. If you enter smtp.mm.com but can't send mail, that ISP may allow you to use smtp.mm.com if you change the outgoing port from 25 to 587. Or, that ISP may allow you to use smtp.mm.com but with smtp authentication enabled. Or, that ISP may require that you use their smtp server setting.

  7. In the field for User Name, enter your 3-8 character username in lower case. Leave off any "@mm.com" or any "@yourdomain.com".

  8. For Password, enter your 6-8 character password in lower case. It's up to you whether you check the Remember password box or not. Some folks like the convenience of not needing to type in their password everytime they read their e-mail. Other folks like the idea that their mailbox can't be accessed if someone else is using their computer (unless, of course, that person knows their password.)

  9. There should NOT be a dot next to Log on using Secure Password Authentication (SPA).

  10. Click More Settings.

    • Click on Advanced.

    • for Outgoing Server port, change the number 25 to 587. Click OK.

    Click Next.

  11. Click Finish.

TO VIEW/CHANGE AN EXISTING ACCOUNT

Pull down Tools, then E-mail Accounts. Make sure the dot is next to View or change existing e-mail account. Click Next.

Under Name, make sure the account you want to verify the settings for is highlighted. Click Change....

Make sure the dot is next to POP3. Click Next.

Instructions for your correct settings are in Steps 3-9 above.

If all you settings are correct and you're still having a problem reading/sending e-mail, especially if you're getting disconnected after reading or sending messages or it's not sending messages, pull down Tools,, then select Options, then click the Mail Setup tab. Make sure Send immediately when connected (which is in the Send/Receive section) is checked. Also make sure Hang up when finished with a manual Send/Receive is UNchecked. If any changes are made, click Apply, then click OK.

It is also strongly advised that your e-mail software doesn't automatically check for mail, or if it does so, to not do it too frequently. Don't worry, you can still manually check for mail as often as you need. To check this setting, pull down Tools, Options, Mail Setup, that you click the Send/Receive button in the Send/Receive section, that both boxes for Schedule an automatic send/receive every n minutes (one is in the Setting for group "All Accounts", the other is in the When Outlook is Offline), be UNchecked. (Don't worry, you can still manually check for messages when you need. UNchecking this option means Outlook won't automaticaly check for mail while you're working on mail, which can mess up your mailbox.) If any changes are made, click Apply, then click OK.

If your mailbox is overly full, it's probably because mail is being left on the server for too long. Go to Tools,, then Email accounts. Make sure the button is next to View or change existing e-mail accounts. Click Next. Click Change. Click More Settings. Click Advanced. Under Delivery, you may opt to never leave mail on the server by leaving the box next to Leave a copy of messages on the server unchecked, or you may opt to leave a copy of messages on the server for a certain number of days by checking the box next to Leave a copy of messages on the server and the box next to Remove from server after a certain number of days. You may also opt to remove the messages from the server when the Deleted Items are deleted by checking the box next to Remove from server when deleted from 'Deleted Items'.

If all your settings are correct and you're still having a problem reading/sending e-mail, close out of all applications and reboot your computer. Connect again and try your mail again. ONCE YOUR CONFIGURATION IS COMPLETE, DON'T FORGET TO BACK-UP YOUR SYSTEM!
